Gauge Refrigeration Management Pty Ltd, trading as Ammonia PSM Solutions and Ammonia Safety Solutions, respects your privacy and is committed to protecting your personal information.

This policy explains how we collect, use, store and disclose personal information when providing services in Australia, New Zealand and Fiji or when you use ammonia.solutions.

We aim to handle personal information consistently with the Australian Privacy Act 1988 and Australian Privacy Principles, the New Zealand Privacy Act 2020 and Information Privacy Principles, applicable privacy, confidentiality and electronic communications requirements in Fiji, and reasonable international privacy and information-security practices.

Depending on how you interact with us, we may collect the following information:

  • Information submitted through enquiry, registration or contact forms.
  • Details about your facility, refrigeration plant, ammonia inventory, training requirements or safety concerns.
  • Quotations, contracts, invoices, payment records and service communications.
  • Course enrolment, attendance, assessment and competency records.
  • Feedback, testimonials, marketing preferences and records of consent.
  • Website usage information such as IP address, browser, device and pages visited.
  • Other information you voluntarily provide.

3. How we collect information

We may collect information directly from you; through our website, forms, email, telephone or meetings; during audits, training, consulting or emergency-planning activities; from your employer or another authorised person; through payment, email-delivery and website providers; from public professional or business sources; or where required or authorised by law.

Where information is collected from someone other than you, we will take reasonable steps to notify you when required.

4. Why we collect and use information

We use personal information to respond to enquiries, prepare quotations, deliver consulting and training services, administer payments and digital products, maintain appropriate records, communicate about projects, improve our services, meet safety and legal obligations, protect our systems, and send communications where consented or otherwise permitted by law.

We do not sell or rent your personal information.

5. Marketing communications

Where you agree to receive communications, we may send technical guidance, resources, business updates and information about our services.

Every marketing email will identify the sender and provide a functional unsubscribe option. You may withdraw consent at any time by using the unsubscribe link, replying with ‘unsubscribe’, or contacting us directly. We will action requests as soon as reasonably practicable and within the time required by law.

Service messages, payment confirmations and direct responses to enquiries may still be sent where necessary after you unsubscribe from marketing.

6. Disclosure to other parties

We may disclose information to trusted providers that assist with website hosting, cloud storage, email delivery, payments, accounting, training systems, IT support, cybersecurity, professional advice, insurance or contracted service delivery.

These providers may use the information only for the services they provide, subject to applicable contractual and legal obligations. We may also disclose information when required by law, to address a serious safety threat, to investigate unlawful activity, or with your consent.

7. International information transfers

Our clients and service providers may be located in Australia, New Zealand, Fiji or other countries. Personal information may therefore be processed or stored outside the country where it was collected.

We take reasonable steps to use reputable providers and maintain appropriate privacy, confidentiality and security protections. Cross-border disclosures will be handled with regard to applicable Australian and New Zealand privacy requirements.

8. Payments

Payments may be processed by third-party providers such as Stripe. We do not normally receive or retain complete payment-card details. Payment providers process information under their own privacy and security policies.

9. Cookies and website information

Our website may use essential cookies and similar technologies for security, functionality, traffic measurement and performance. Browser and device information may be collected automatically. You can restrict cookies through your browser settings, although some functions may be affected.

10. Information security

We take reasonable administrative, technical and physical measures to protect personal information against loss, misuse, unauthorised access or disclosure, alteration, destruction and cybersecurity threats. No online service or transmission method can be guaranteed completely secure.

11. Retention and deletion

We retain information only for as long as reasonably necessary for its original purpose, service delivery, training evidence, taxation, insurance, contractual or legal requirements, dispute resolution and legitimate business interests. Information no longer required will be securely deleted, destroyed or de-identified where reasonably practicable.

12. Access and correction

You may ask us to confirm whether we hold information about you, provide access, correct inaccurate information, withdraw marketing consent or delete information that is not legally or reasonably required. We may need to verify your identity and lawful exceptions may apply.

13. Privacy breaches

We investigate suspected privacy or security breaches and take reasonable steps to contain and address them. Where notification is required, we will notify affected individuals and the relevant regulator in accordance with applicable law.

14. Complaints

If you believe we have mishandled your information, email paddy@ammonia.solutions with details of your concern. We will acknowledge and investigate the complaint and aim to respond within 30 days.

If the matter is not resolved, you may contact the Office of the Australian Information Commissioner, the Office of the New Zealand Privacy Commissioner, or the relevant authority or legal forum in Fiji.
